Scope of bessa Kantine

bessa Kantine is a standard product with a fixed feature set: employees pre-order from the menu plan, pay, and pick up their meal with a QR code or NFC card; the canteen receives a report as the basis for internal settlement. This page describes the feature set.

How an order works

  1. The canteen publishes the menu plan.

  2. The employee signs in and pre-orders for one or more days.

  3. They pay with credit or online, or the order is settled through payroll.

  4. The orders flow into the canteen's bessa POS.

  5. At the counter, the employee identifies with a QR code or NFC card and picks up their meal.

  6. The canteen exports the report for the period it needs.

Included

Users and sign-in

  • Creating users: The canteen creates users itself, one by one or through a bulk import.

  • Self-registration: In school canteens, users can also register themselves. They automatically receive their personal QR code for pickup.

  • Person groups: Each user can be assigned a person group, such as a department or location. The report contains the group so you can analyse by it.

  • Sign-in: with email address and password.

  • NFC cards: On site, bessa recognises the employee by the card ID, the number a reader delivers over USB as keyboard input. This means any card whose ID the reader can read works, including an existing company badge. See Setting Up Barcode and NFC Scanners.

Payment

  • Credit: The employee tops up credit and pays for orders with it.

  • Online payment: The employee pays for the order directly online.

  • Payroll: The payment method Lohnverrechnung (payroll) marks orders that are not paid in cash or by card but settled by the company through payroll. The company decides how that settlement works.

Ordering and pickup

  • Pre-ordering from the menu plan: Employees pre-order from the published menu plan.

  • Quantity limits: If inventory management is active on the Sales Point, the stock level limits the quantity that can be ordered. Sold-out dishes can no longer be ordered.

  • Pickup: with a QR code or NFC card.

Voids

  • By the employee: The employee voids their own order up to the deadline the canteen sets before service starts.

  • By the canteen: The canteen voids orders up to the Sales Point closing of the day the order is for.

  • After the Sales Point closing: Once the day is closed, no void is possible. Otherwise the Sales Point report and the canteen report would no longer match.

  • Credit: For an order paid with credit, the amount is refunded to the credit when it is voided.

Report

The report shows, for any period you choose, who ordered, voided and picked up what, and when. For each order it contains the person with their person group, the amount and the payment method. The payment method tells you whether an order is already paid (credit or online) or still has to be settled through payroll. You export the report as a CSV or Excel file.

Not included

  • Custom sign-in methods: for example sign-in with company accounts (single sign-on, Active Directory).

  • Special card technology: for example encrypted card sectors, or readers that do not deliver a card ID as USB keyboard input.

  • Group orders: orders for several people, departments or meetings.

  • Settlement models: for example subsidies from the company or the works council. The company handles internal settlement itself, based on the report.

  • Other void variants: for example a void after the Sales Point closing.

  • Customer-specific reports and exports: for example additional columns, custom file formats or interfaces to payroll and HR systems.

Frequently asked questions

Can we use our existing company badges? Yes, if your reader delivers the card ID as USB keyboard input. bessa only uses this ID, regardless of the card type.

How do we handle a meal subsidy? Not in bessa Kantine. Book the orders on the payment method Lohnverrechnung (payroll) and settle the subsidy in your payroll based on the report. The person group in the report lets you tell departments or locations apart.

Can an employee order for colleagues? No. Each order belongs to exactly one user.
