Cloakroom with cloakroom tickets

At balls, concerts, in clubs or in the theatre, guests hand in coats and bags and collect them hours later. That takes a ticket on the item, a receipt for the guest and a fee that is booked properly. bessa does all three in one step: the cloakroom is charged as an article, and the Sales Point prints a separate ticket for each item with the same pickup number that also appears on the guest's invoice.

How it works

  1. The guest hands in two coats. You book 2 × "Cloakroom coat" and take payment.

  2. The Sales Point prints the invoice with the pickup number, e.g. KA00042, and two tickets, one per coat, with the same number.

  3. You attach one ticket to each coat. The guest keeps the invoice.

  4. When collecting, the guest shows the invoice; the number leads to all items with the same pickup number.

Step 1: Create the cloakroom as an article

  1. Create an article group "Cloakroom" with the appropriate VAT rate.

  2. In it, create one article per fee, e.g. "Cloakroom coat" and "Cloakroom bag".

  3. Put the articles on the order screen of the cloakroom or entrance Sales Point.

Step 2: Print one ticket per item

A separate printing group prints the tickets:

  1. Under Articles → Printing groups, create the printing group "Cloakroom" and assign it to the article group "Cloakroom", see Printing groups.

  2. On the cloakroom Sales Point, assign the receipt printer to the printing group "Cloakroom", see Printer settings.

  3. Set Single receipts to Per piece for this printing group. The Sales Point then prints a separate ticket for each piece: two coats, two tickets.

  4. Enable Automatically print order on the invoice printer. Because payment is taken directly at the cloakroom, without a table, the Sales Point only prints the tickets with this setting.

Choose Per piece, not Per article. Per article prints one ticket per line; two coats in one line would give only one ticket.

If the same Sales Point also sells admission, no tickets should be printed for it. Give the admission article group no printing group and set the order ticket printer role on this Sales Point to Do not print. The Sales Point then prints tickets for the cloakroom only.

Step 3: Pickup number on invoice and tickets

With the pickup number enabled, the Sales Point gives every order a number such as KA00042. It appears on the invoice in the Pickup block and in large print on the tickets, that is on every cloakroom ticket. You enable the pickup number in the bessa Manager under Locations → Sales Points → Sales Point → Display tab with the Generate pickup number checkbox. Details in Pickup number on the receipt.

The numbers keep running and don't start at 1 every evening. If the Sales Point also sells admission, those count too; the cloakroom numbers of one evening are therefore not gapless. That doesn't matter, because the number only matches invoice and tickets.

Frequently asked questions

The guest has lost their invoice. How do I find their things? Handle this according to your house rules, e.g. hand-out only after the event against a description of the items. The tickets carry the same pickup number; that tells you which items were handed in together.

Can I charge coats and bags differently? Yes. Each fee is its own article; all tickets of one hand-in still carry the same pickup number.

Do I need a separate printer? No. Invoice and tickets can go to the same receipt printer. A second printer is only worth it when it gets very busy.
