A hotel invoice contains services taxed differently: the overnight stay, breakfast, drinks from the minibar, the parking space and the municipality's tourist tax. For the invoice to be correct, every service needs the right VAT rate. This guide shows how to build the articles for this.
Please check with your tax advisor which VAT rates apply to overnight stay, breakfast, parking and tourist tax and how a package price including breakfast has to be split. This guide describes the setup in bessa and is not tax advice.
Article groups by VAT rate
An article's VAT rate comes from its article group, see Tax types. So create one article group per VAT rate:
|
Article group |
Typical articles |
|---|---|
|
Accommodation |
Overnight single room, overnight double room, extra bed |
|
Breakfast and food |
Breakfast, half board |
|
Drinks |
Minibar drinks |
|
Other services |
Parking, laundry service |
|
Tourist tax |
Tourist tax per person and night |
Overnight stay
Create one "Overnight stay" article per room category. Book the overnight stay in the room detail with the number of nights as the quantity, e.g. 3 in the numpad followed by "Overnight double room". If prices change by season, create separate articles per season or enter the price via Free price when booking.
Breakfast included in the room rate
If breakfast is included in the room rate, the total price is usually split between overnight stay and breakfast, each with its own VAT rate. bessa does not split a price automatically. Model the split like a menu: an article "Overnight with breakfast" with options for the two shares, see Book combo menus with food and drinks.
Minibar and parking
-
Minibar: put the minibar articles on a separate order screen at reception. At check-out, book what is missing directly on the room.
-
Parking: an article "Parking per night" with the number of nights as the quantity.
Tourist tax
Create the tourist tax as a normal article, e.g. "Tourist tax" with the amount per person and night. At check-in or check-out, book it with the quantity persons × nights, e.g. 6 for two persons and three nights. The tourist tax appears as a separate line on the invoice. Check with your tax advisor whether VAT applies to the tourist tax, and choose the article group accordingly, e.g. one at 0 %.
The additional taxes via cross-reference feature is not meant for the tourist tax. It models a percentage tax included in the price, not an amount per person and night.
Frequently asked questions
How do I see accommodation turnover separately? In the reports by article group and in the turnover report by VAT rate, see Reports.
Can I book the overnight stay at check-in already? Yes. The booking stays open until you take payment at check-out; the invoice shows the period of stay.
