Reports

With the reports in bessa Manager, you analyse your revenue, articles and staff performance in detail. Choose from 14 different report types, filter by period, location, Sales Point and user – and compare your results with previous periods to spot trends early.

In the "Report type" dropdown, 14 different reports are available:

Period

Choose from the following period options:

Activate Comparison

With the Activate comparison checkbox, you can compare the current period with a comparison period.

After activation, two comparison types are available:

• Previous period (default) – compares e.g. 2025 to 2024

• Same period last year – compares the identical period in the previous year

The report then shows three columns: the current period, the comparison period and a Change column with percentage values. Increases are shown in green with ↗, decreases in red with ↘.

Other Filters

With the Reset button, all filters are reset to the default values.

Filter Availability by Report Type

Adjust Times of Day

For the reports Articles/Time, Articles/Day, Article group/Time, Article group/Day, Processing time/Time and Processing time/Day, you can use the Times of day button (clock icon) above the report to define your own time slots.

A sample configuration for a hospitality business could look like this:

In the dialog, you can edit existing times of day (pencil icon), delete them (trash icon) or create new time slots via + Add time of day. Times are entered in the format hh:mm or hh:mm:ss.

Check and Correct Preparation Times

The Processing time/Time and Processing time/Day reports compare the actually measured duration per article with the target value stored on the article master record as the preparation time. This shows you where the staggering on the Order Monitor no longer matches reality in the kitchen – and lets you correct the target value straight from the report.

Report Columns

Times are shown as m:ss, and as h:mm:ss from one hour upwards. Each time slot – and, in the Processing time/Day report, each weekday – ends with a subtotal row; the report ends with an overall average.

The Processing time/Day report groups the same data one level deeper: first by weekday, then by time of day and only then by article. This shows you, for example, whether a dish only falls out of step on Saturday evenings.

Reading the Change Column

The Change column compares the measured average duration with the target value and is only shown when a target value is stored. The colour logic is inverted compared with the revenue reports:

• Red with ↗ – the article takes longer than intended; the Order Monitor schedules it too late.

• Green with ↘ – the article is finished faster than intended.

If the comparison with a previous period is activated, the table switches to the comparison view: you then see the average duration in the current period, the average duration in the comparison period and the change between them. Median, Target and the quick correction are not available in this view.

Correcting the Target Time Directly in the Report

1. In the Target column, hover over the article row you want and click the pencil icon.

2. The "Edit target time" dialog opens. It shows the article name and, below the input field, the measured average as a hint ("Avg 3:20").

3. The Target time (seconds) field is pre-filled: with the existing target time – or, if none is stored yet, with the rounded measured value. Adopting the measured value therefore only takes one click on Save.

4. Adjust the value if needed and click Save. The confirmation "Target time saved" appears.

Data Basis

Only articles that were set to done on the Order Monitor are included in the analysis. Measurement starts when the course is requested – or, if no course was requested, at the time of posting – and ends when the article is marked as done on the Order Monitor.

Articles that never pass through an Order Monitor (e.g. drinks without a monitor connection) therefore do not appear in the report.

Download and Share Reports

• Download – Click the green "Download" button in the header bar and choose the format you want: CSV or PDF. For the reports Articles/Time, Articles/Day, Article group/Time and Article group/Day, only PDF is available.

• Share – Use the "Share" button to share the report with other people.

Practical Tips

• Revenue analysis by time of day: Use the Articles/Time or Article group/Time reports to find out which products are particularly in demand at which time of day. This way you can optimise your offering and staffing.

• Compare staff performance: With the user reports, you see at a glance which employee generates which revenue. This is particularly helpful for staff planning and performance assessment.

• Period comparison for trends: Activate the comparison to spot revenue developments between periods – e.g. whether a month or quarter performed better or worse than the previous year.

• Monitor cancellations: The "Cancelled payments/Users" report helps you spot unusual cancellation patterns early.

• Multi-location analysis: Filter by locations to specifically analyse and compare the performance of individual branches.

• Fine-tune target times: Use the Processing time/Time and Processing time/Day reports regularly to check whether the stored preparation times still match reality in the kitchen. If the average duration deviates from the target permanently, correct the value straight in the report row – courses will then be staggered correctly again on the Order Monitor.

Frequently Asked Questions (FAQ)

Why don't I see the "Configure report" sidebar? The sidebar is hidden when you click into the report area. Reload the page to restore the sidebar.

Why is the "Activate comparison" option missing? With a custom period, the comparison function is not available. Choose a predefined period (day, week, month, quarter or year) to use the comparison.

What do the colours in the Change column mean? Green with ↗ indicates a revenue increase compared to the previous period; red with ↘ indicates a decrease.

Why are the "Restrict articles" and "Restrict article group" filters missing? These filters are not available for the "Payment method/Article group" report type, since this report is already grouped by payment methods.

Can I change the times of day permanently? Yes – your adjustments to the times of day are saved and used automatically the next time you run the report. As long as no times of day are defined, all revenues are shown under "No category".

In what format is the report downloaded? The "Download" button lets you choose between CSV and PDF. For the reports Articles/Time, Articles/Day, Article group/Time and Article group/Day, only PDF is offered.

Why are articles missing from the processing time reports? Only articles that were set to "done" on the Order Monitor are analysed. Articles that never pass through an Order Monitor produce no measured values and therefore do not appear in the report.

What does the "Target" column mean – and what happens when I save? "Target" is the preparation time stored on the article master record. When you change it via the pencil icon, the article master record is updated: the new value applies immediately to the staggering on the Order Monitor and appears in every row of the same article. The value "0" removes the target time.
