Payment Methods

Payment methods define how customers can pay in your business. In bessa Kassa Manager you manage all available payment methods centrally and control which payment methods are displayed at the Sales Points.

Overview

The payment methods overview shows all payment methods configured in the system with the following information:

Column

Description

Name

Visible name of the payment method in Manager, at the Sales Point and in reports

Type

Type of payment method (e.g. cash, card payment, voucher)

Eye icon

Show or hide the payment method

Pencil icon

Edit the payment method

Trash icon

Delete the payment method

You can create as many payment methods as you wish and adjust them at any time.

Available Payment Method Types

bessa Kassa supports the following payment methods:

Cash and Bank Transfers

  • Cash – Cash payment

  • Bank transfer – Payment by bank transfer

Tip: If the bank data is filled in on the company or the location, an EPC QR code is shown on the invoice for easy bank transfer.

What is an EPC QR code?
The EPC QR code (European Payments Council) allows customers to pay quickly using their smartphone banking app. By scanning the code, IBAN, amount and reference are automatically filled in. For more information, see the official EPC specification.

Card Payments

  • Card payment (manual) – Manual entry without terminal integration

  • SumUp – SumUp card terminal

  • PayOne/WorldLine – PayOne/WorldLine terminal

  • GlobalPayments (All-in-One Terminal) – GlobalPayments All-in-One terminal, when the Sales Point app runs directly on the terminal

  • GPTom – GPTom terminal

  • ZVT – ZVT-protocol-compatible terminals

  • Worldline Payment Interface – Worldline Payment Interface

  • hobex – hobex terminal

  • POSit – POSit terminal

  • POSit 2 (new hobex SoftPOS) – POSit 2 SoftPOS solution

  • VivaWallet SoftPOS – VivaWallet App2App integration

  • VivaWallet REST – VivaWallet REST API

Vouchers

  • Voucher (without tax) – Voucher without VAT

  • Voucher (with tax) – Voucher with VAT

Info: The tax treatment of vouchers depends on various factors. Be sure to clarify the correct setting with your tax advisor.

Difference between voucher with/without tax:

  • With tax: The voucher is charged with VAT on sale. On redemption, only the value of the goods is taxed.

  • Without tax: The voucher is treated without VAT on sale. Taxation only occurs on redemption with the actual value of the goods.

bessa Payment Services

  • Bessa card – Payment with bessa balance/prepaid card or customer card (e.g. via the bessa customer loyalty app)

  • Bessa online payment – Payment via the bessa online interface for web, table, app or kiosk orders

  • Bessa Pay – Stripe-based payment solution from bessa

Special Functions

  • Internal bookings (revenue-neutral, tax-free) – For bookings without sales character such as invitations, breakage, own consumption, staff meals or other internal documentation purposes

  • CashMatic – CashMatic cash management system

Card Terminals and Payment Methods

Automatic Payment Method Creation

When you select a card terminal type in the Sales Point settings, a corresponding payment method is automatically created if it does not already exist.

Important: Specific card payment types (e.g. SumUp, PayOne, hobex) can only exist once as a payment method. Exception: the generic "Card payment (manual)" can be created multiple times if it is not connected to a terminal.

Visibility and Card Terminals

If a Sales Point is configured with a card terminal, the corresponding payment method must be visible for card payment to be available at the Sales Point.

Caution: If the corresponding payment method is hidden or deleted, the card payment function is no longer available at Sales Points with this terminal type until the payment method is shown again or recreated.

Edit a Payment Method

You can adjust the name of any payment method to suit your needs. The type of a payment method cannot be changed after creation.

Account Number for Tax Export

In the details of each payment method, you can define an account number for the tax export. This account number is used when exporting data for accounting systems such as BMD, RZL or DATEV.

Delete a Payment Method

Payment methods can be deleted if they are no longer needed. Note:

  • Payment methods with transaction history may not be deletable

  • For card-terminal-specific payment methods: check beforehand whether any Sales Points still use this terminal

Troubleshooting

Card payment not available at the Sales Point

Issue: Card payment is not displayed at the Sales Point even though a terminal is configured.

Solution:

  1. Open Master Data > Payment Methods in bessa Kassa Manager

  2. Check whether the payment method matching the card terminal exists

  3. Make sure the payment method is visible (eye icon active)

  4. Open the Sales Point settings and check the card terminal configuration
