Companies

A company is the highest organisational unit in bessa Kassa Manager. Each company can be assigned any number of locations and Sales Points.

Overview

In Company Management you can see all companies assigned to your account. You can create as many companies per account as you want – particularly useful for franchise structures or corporate groups.

Practical example: A franchise company such as "Café Central" runs 15 branches throughout Austria. Through central company management, article data can be maintained uniformly and joint reporting across all locations can be created, while each branch operates as its own location with its own Sales Points.

Create a Company

The creation of new companies is reserved exclusively for bessa Support. Contact our support team if you would like to set up a new company.

Edit a Company

To edit a company, click on the desired company in the list. Editing takes place in three tabs:

  • Company: General company data and print settings

  • Address: Address of the company

  • Tax: Tax settings and FinanzOnline credentials

Delete a Company

Deleting companies is also reserved for bessa Support. Reach out to our support team if a company should be removed.


Company

The data entered here is printed in the header of many receipts (e.g. invoices, receipts).

Important: Changes to the company data are only adopted by the Sales Point when ending and starting a new sales point closing. During an active sales day, no new company data is synchronised.

General Data

Name
The official company name as it appears on receipts.

Telephone number
Printed on receipts. Can be overridden by settings at the location level.

Website
URL of your company website.

Email
Contact email address for customer enquiries. Can be overridden at the location level.

Email for reports
This email address is used when automatic dispatch of sales point closings is enabled. The reports are sent to this address after each automatic sales point closing. Can be overridden at the location level.

Bank Data

Bank
Name of your bank.

IBAN
International bank account number.

BIC/SWIFT
Bank identification code.

The bank data is particularly important when using the Bank Transfer payment method. If bank data is stored, an EPC QR code is automatically printed on invoices.

The bank data can be overridden at the location level.

Price Display

Specifies how prices are displayed at the Sales Point. For details, see the article Configure Sales Point Price Display.

Receipt Design

Invoice header
Additional text printed in the header of every invoice (e.g. opening hours, slogan). Can be overridden at the location level.

Invoice footer
Additional text printed in the footer of every invoice (e.g. payment terms, legal notes). Can be overridden at the location level.

Logo
Upload your company logo here. The logo is shown in the following places:

  • In the menu of the Sales Point

  • As a background

  • On the default screen

  • In the invoice header

When a logo is uploaded, the company name is printed smaller and the logo is placed above it. The logo can be overridden at the location level.


Address

Here you record the full address of your company:

  • Street and house number

  • Postal code

  • City

  • Country

This address is printed on receipts and can be overridden at the location level.


Tax

Note: The following tax settings refer to the Austrian tax system and are specifically tailored to the requirements in Austria.

Small Business Regulation (Kleinstunternehmerregelung)

Activate this option if your company makes use of the small business regulation under § 6 para. 1 no. 27 UStG.

What is the small business regulation?
Companies with annual revenue under €35,000 in Austria can be exempted from VAT. In this case, no VAT is shown on receipts. For more information, see the WKO website.

Tax Identification

Tax number
Your tax number from the tax office.

VAT ID
Your VAT identification number.

Internal Bookings

Valuation of internal bookings
Specifies the price at which internal bookings (e.g. inventory transfers between locations) are valued. As internal bookings are not relevant for tax purposes, the amounts are always shown net.

Available options:

  • Sales costs: Net sales price of the article

  • Purchase costs: Net purchase price (if stored on the article, otherwise 0)

  • Free of charge: Always at price 0

FinanzOnline Credentials

The following fields are required for the automatic FinanzOnline integration:

FinanzOnline Teilnehmer-ID
Your participant identification number.

FinanzOnline Benutzer-ID
Your user identification number for the webservice access.

FinanzOnline PIN
Your PIN for the webservice access.

Note: A separate webservice user is required for the automatic integration. Your normal FinanzOnline credentials will not work here.

Check FinanzOnline access
With this button, you can test whether the entered credentials are correct and represent a valid webservice user.

The FinanzOnline integration enables:

  • Automatic Sales Point registration

  • Automatic outage report for signature device issues

  • Automatic annual receipt report
