Manage all users of your bessa Kassa account centrally via Manager. Here you can edit user data, manage PIN codes and key assignments, and configure user roles and Sales Point access.
Overview
User Management gives you all users of your account at a glance. You can:

View all active and inactive users

Edit user data (first name, last name, PIN, key)

Assign user roles
-
Set Sales Point access for individual users
Important: Creating and deleting users can only be carried out by bessa Support. For new users or to delete existing accounts, please contact our support team.
Open the User Overview

Navigate to Master Data

Select Manage users
The overview shows the following information:

The edit dialog opens with two tabs: User and Sales Points
"User" Tab – Edit Master Data
In the "User" tab you can edit the following information:
Email Address

Unique in the entire bessa Kassa system

Can only be changed by bessa Support

Used for identification and login
First Name and Last Name

Freely editable
-
Shown in reports and logs
PIN Code

4-digit code for quick user switching at the Sales Point
-
Should be unique (this is not enforced by the system)

Allows quick login without full credentials
-
Note: If multiple users have the same PIN code, the first user found is used
Key (Digital Key)

For magnetic locks or similar hardware
-
Should be unique (this is not enforced by the system)
-
Used for quick user switching at the Sales Point

Tip: Place the cursor in the Key field and plug the key into the computer – the field is filled in automatically
User Roles

Set permissions for the user
-
For multiple roles, the rights are merged
-
Important: In case of conflicts, a denial is stronger than a permission

"Sales Points" Tab – Manage Sales Point Access
In the "Sales Points" tab you assign which Sales Points and Sub-Terminals the user is allowed to log in to.

Activate the checkboxes for the desired Sales Points

The user can only log in at assigned Sales Points

Common Issues and Solutions
Issue: Multiple users have the same PIN code
Solution: The system automatically logs in the first user with this PIN code. To avoid confusion:

Check that all PIN codes are unique

Assign a unique PIN code to each user

Document the PIN codes for your employees
Issue: Key is not recognised
Steps to resolve:

Re-plug the device: Remove the lock and plug it in again
-
Check keyboard mode: The lock must be in keyboard mode (see device manual)

Check cursor position: Make sure the cursor is active in the Key field
-
Check uniqueness: Verify whether the key is already assigned to another user
-
Test the lock: Test the lock on another computer or USB port
Issue: User cannot log in
Check the following points:

PIN code correct: Is the PIN code entered correctly?
-
Key assignment: Is the right key assigned and working?
-
User active: Is the user marked as active (✓) in the overview?
-
Sales Point access: Does the user have access to the relevant Sales Point in the "Sales Points" tab?

User roles: Does the user have the necessary permissions assigned?

Create New Users or Delete Users
The creation of new users and the deletion of existing users can only be carried out by bessa Support.
How to request a new user:

Provide the following information: email address of the new user, first and last name, desired user roles, Sales Point access (optional)
Support will create the user for you, and you can then assign the PIN code and key yourself.
