Guest Room Bookings

In accommodation businesses the Sales Point manages guest rooms much like tables: you create a booking for a guest's stay, collect the overnight stay and consumption from restaurant and bar on it, and settle everything together at check-out. This page describes guest room bookings in bessa. For rooms managed by a connected hotel software, see Charging Orders to a Room in the Hotel Software.

Requirements: floors and guest rooms are enabled by bessa or your POS dealer. They are created in the bessa Manager as areas of type Floor and order groups of type Room, see Areas & Order Groups. What an employee may do with rooms is controlled by the room permissions for viewing, booking, transferring, voiding and settling rooms.

Open the rooms view

Tap Rooms in the main menu. The rooms are shown per floor. Use the title bar to switch floors or choose All rooms; rooms without a floor are under Unassigned rooms. Open rooms lists all rooms with open orders, and the magnifying glass finds a room by number.

Create a booking (check-in)

  1. Select the room.

  2. If the room has no booking yet, tap the New booking row in the room detail. For a further booking of the same room, choose New Booking in the booking selection in the title bar.

  3. Fill in the Booking Period dialog:

    • Check-in (Start) — date and time of check-in.

    • Check-out (End, optional) — date and time of the planned check-out. Without an end the booking is Open-ended.

    • Customer — via Link customer, the guest or the company that pays.

    • External ID — e.g. the room card number. If you scan the room card, the Sales Point enters the number and confirms with Room card scanned.

  4. Tap Confirm.

If the period overlaps an existing booking of the same room, the Sales Point warns with Warning: Overlapping with existing booking(s). Create anyway creates the booking nevertheless.

A room counts as checked in while the start has been reached and the end has not yet passed or is empty. When charging to a room, only checked-in rooms can be chosen. If your business does not record check-ins, rooms without a booking can be enabled as well, see Rooms without check-in.

Edit or delete a booking

  • Edit: in the room detail, tap the row with the booking period. The Edit Booking dialog opens, e.g. to extend the check-out or change the customer.

  • Delete: in the options menu, choose Delete Booking. The entry is only enabled once all articles of the booking have been voided, so that no consumption is lost.

Charge to a guest room

There are two ways to put articles on a room:

  • Directly in the room: in the room detail, tap Order and book as on a table, e.g. the overnight stay or the minibar.

  • From restaurant or bar: at the table or the counter, choose the Room payment method when paying and then the room, by searching for room number or guest name or by room card. The articles are transferred to the room; no invoice is created yet. Details in Charge to a guest room.

If a guest changes rooms, move open articles to the new room with Transfer.

Settle at check-out

In the room detail, tap Pay, choose the articles and the payment method, and confirm. As at a table, you can also pay only part or split the bill, see Table Bookings. If the stay extends beyond the invoice date, the invoice shows the service period, e.g. from check-in to check-out.

Frequently asked questions

Why can't I find a room when charging from the restaurant? It isn't checked in: either the booking's start lies in the future, or its end has already passed. Check the booking in the room detail. To rebook without check-in, enable Rebook to room without check-in in the bessa Manager.

Can I charge a tip to a room? No. A tip is not possible when charging to a room; record it when settling the room.
