Pizzeria, Asian takeaway or burger shop: many businesses don't just sell over the counter but take orders by phone, webshop or delivery platform and deliver themselves. That takes separate prices for delivery, a delivery fee and the customer's address on the invoice. This guide shows how to set this up in bessa.
The building blocks
|
Building block |
Purpose |
|---|---|
|
Consumption types Takeaway and Delivery |
Distinguish pickup and delivery orders, also in the reports |
|
Pricing level "Delivery" |
Separate prices for delivery if they differ from counter prices |
|
Article of type Delivery fee |
The delivery fee on the invoice |
|
Customers with addresses |
Name and delivery address on the invoice, regulars found quickly |
|
Online orders |
Orders from webshop, app and delivery platforms straight into the Sales Point |
Step 1: Consumption types and prices
-
On the Sales Point, enable the consumption types In-house, Takeaway and Delivery on the Display tab.
-
If delivered items cost more, create a pricing level "Delivery" for the consumption type Delivery and enter the delivery prices on the articles.
Details in Eat in or take away.
Step 2: Delivery fee
Create at least one article of type Delivery fee, e.g. "Delivery fee" or per zone "Delivery fee zone 1" and "Delivery fee zone 2", see Article types.
-
Phone orders at the Sales Point: book the delivery fee like an article. Put the delivery fees on the order screen for this.
-
Online orders: here the Sales Point adds the delivery fee to the order automatically. Without an article of type Delivery fee it cannot book delivery orders.
Step 3: Customers with addresses
With the customer management module you create customers with one or more addresses. The primary address marked with ★ is preselected automatically when linking. For a phone order, link the customer via the options menu with Link customer; name and delivery address then appear on the invoice the driver takes along. Details in Customers.
Store delivery notes in the customer's comment field, e.g. "2nd floor, back entrance". Your team finds them with the customer and doesn't have to ask with every order.
Step 4: Connect online orders
Orders from your bessa webshop, your app or delivery platforms arrive directly in the Sales Point: the Sales Point announces every new order, you accept it, and it goes to the kitchen like any other.
-
Orders already paid, e.g. online by card, are closed by the Sales Point automatically with an invoice.
-
Orders paid in cash stay open until the driver or the counter takes payment; you find them under Open orders by pickup code or customer name.
-
Evaluate delivery platforms separately: create a separate payment method per platform. The reports then show how much was sold through which platform.
Setup in Online orders and Set up web orders.
Day to day
-
Take a phone order: choose the consumption type Delivery, link the customer, book the articles and the delivery fee.
-
Take payment if the customer has already paid, or close the order the way your process intends, e.g. cash payment to the driver.
-
The kitchen receives the ticket, the driver the invoice with the address.
Frequently asked questions
Can I set a minimum order value for deliveries? For online orders, yes, in the order settings in the bessa Manager. At the Sales Point, staff check the minimum order value themselves.
How do I see how much I earned with delivery? Evaluate the delivery fees as articles in the reports and compare turnover by payment method if you keep a separate payment method per delivery platform.
