Hotels, medical practices or companies often don't have the passenger pay for their rides but receive an invoice and pay by bank transfer. bessa offers two ways for this: one invoice per ride, paid by bank transfer, or collecting the rides on a customer account with one shared invoice. This guide shows both.
Requirement: create business customers
Create your business customers with the customer management module, with company, VAT ID and billing address. When taking payment, link the receipt via Link customer; company name and address then appear on the invoice. See Customers.
If a business customer has agreed prices, e.g. for flat-rate rides, store them in a pricing level and assign it to the customer. An agreed reduction is modelled by a discount group on the customer.
Way A: one invoice per ride, paid by bank transfer
-
In the bessa Manager, create a payment method of type Bank transfer if there isn't one yet, see Payment methods.
-
Store your bank details on the company. The Sales Point then prints an EPC QR code on every bank transfer invoice, which the customer scans in their banking app to pay without typing.
-
After the ride, the driver links the business customer and takes payment with the Bank transfer payment method.
The invoice goes to the passenger or to the company. In the bessa Manager, Invoices with the Open filter lists all bank transfer invoices not yet paid; when the money arrives, mark the invoice as paid with Paid. You can also download the invoice in A4 format there if needed.
This way works in every car and without an additional module.
Way B: collect rides, one invoice per month
With the customer tabs and customer management modules, you collect a business customer's rides and settle them together:
-
After each ride, the driver links the business customer and chooses the customer account payment method (Account at the Sales Point). The ride is not paid but stays open.
-
Under Open orders you see all open rides per customer with the total.
-
At the end of the month, tap Pay on the customer and choose the payment method, e.g. Bank transfer. This creates one invoice for all rides.
Details in Customer tabs.
If you link rides to different addresses of the company, such as individual employees or branches, they still land on one account of the company, and the invoice goes to its primary address. How to set up a company with employee addresses is shown in Company account with a collective invoice for employees.
With a fleet, check in advance at which Sales Point a customer's open rides are settled. If several cars drive for the same customer, way A is often simpler.
