Taxi fleet – one Sales Point per car

With several cars come new questions: which car took how much, which driver drove when, and how does a driver settle who sits in car 3 today and car 5 tomorrow? In bessa every car gets its own Sales Point, and drivers sign in with their PIN at the car's Sales Point. This guide shows the setup.

Building block

Recommendation

Per car

A mobile Sales Point as a Main Sales Point of its own, named after the car, e.g. "Car 3 – W-12345T"

Per driver

A user with their own PIN

Assignment

Each driver is assigned to every car they may drive

Central for all cars, see Recording fares without a taximeter

Each car needs its own Sales Point because on the road it isn't on the same network as other Sales Points; a Sub-Terminal only works together with its Main Sales Point on the local network. Each Sales Point is a licence of its own and is fiscalised and closed independently. Mobile Sales Points without a fixed location are described in Sales Points.

Create and assign drivers

  1. New drivers are created as users by bessa Support. You then maintain PIN, role and Sales Point assignment yourself under Master data → Users, see Users.

  2. Give every driver a unique PIN. With duplicate PINs, the Sales Point signs in the first user it finds, and rides end up with the wrong driver.

  3. Assign each driver to every car they may drive, on the user's Sales Points tab or per Sales Point under Manage Sales Point users.

Start of shift and shift change

At the start of the shift, the driver signs in via Switch user in the Sales Point menu with their PIN. If they aren't assigned to the car, the Sales Point refuses the sign-in. All rides they take payment for now count for them. At a shift change, the next driver signs in the same way.

Give drivers the Own Reports Only permission. Each then sees only their own rides and takings at the Sales Point, see User roles and permissions management.

Settlement

Per driver: at the end of the shift, the driver prints the Users report for the day at the Sales Point under Reporting → Reports. Cash w/o tip shows how much cash they hand in; non-cash tips are listed separately. See Staff in daily operation.

Per car: the Sales Point closing applies to the Sales Point, that is to the car, and covers all drivers who drove it. Do it at a fixed time, e.g. daily at the end of the last driver's shift. See Sales Point closing.

For the whole fleet: in the bessa Manager, compare the cars in the reports using the Sales Points filter, and the drivers with the user report types, across all cars as well. The Sales Point closings of all cars are under Sales Point closings.

Frequently asked questions

A driver changes cars mid-shift. What do they have to do? They sign in at the new car's Sales Point with their PIN. Their rides are then spread over two Sales Points; in the bessa Manager the users report shows the total across both.

What happens if a POS device fails? The Sales Point is a licence, not a device, and its data is in the cloud once synchronised. Contact bessa or your POS dealer to move the Sales Point to a replacement device. For a larger fleet, it's best to keep a prepared replacement device ready.
