Who took how much, how much was given in tips, and what has to be in the drawer at the end of the shift? Because bessa assigns every payment to the signed-in employee, you can answer these questions in a few steps. This guide covers the routine from signing in to the end-of-shift settlement and the distribution of tips.
How to set up logins, roles and permissions in general is covered in Structure user access. This guide assumes your employees are set up as users.
Sign in and switch users
Each employee signs in at the Sales Point with their own PIN code, a waiter key or an NFC card. When several employees share a device, they change over with Switch user in the Sales Point menu; with a waiter key, inserting one's own key is enough. Setup and Sales Point behaviour: Signing In at the Sales Point.
To keep the assignment correct:
-
Use unique PIN codes. The Sales Point does not check whether a PIN is used twice and signs in the first user it finds when two match. Turnover then ends up with the wrong employee. You maintain PINs and keys under Master data → Users, see Users.
-
Assign employees to the Sales Point. An employee can only sign in on Sales Points and Sub-Terminals they are assigned to, see Manage Sales Point users.
-
Request new employees in good time. Users are created by bessa Support. You then maintain PIN, key, role and Sales Point assignment yourself.
Quick Connect via QR code signs in a device, e.g. a new Sub-Terminal, not an individual employee. For a shift change, use Switch user.
Assign tables to an employee
In table service, each table can belong to one waiter: whoever books on a table first becomes its owner until the table is paid. Other employees cannot serve it in the meantime. Setup in User-table binding.
End-of-shift settlement
Turnover and tips count for the employee who took the payment, not for the one who booked the order. If waiters cash up their own tables, the two are the same.
At the Sales Point
-
Open Reporting → Reports.
-
Choose Today as the period, Users as the report type and the employee under User.
-
Tap View or print the report.
The report shows the employee's turnover per payment method as well as Tip, Tip (Non-cash) and Cash w/o tip. The last value is the cash amount the employee has to hand over. Details in Reports.
Give service staff the Own Reports Only permission. They then see only their own turnover at the Sales Point and can print their own settlement without seeing their colleagues' figures. Today's Report Only additionally limits the choice to the current day. See User roles and permissions management.
In the bessa Manager
For monthly or annual overviews, use the reports with the report types for users, article groups per user, payment methods per user and voided payments per user. The last one shows who voided how much and is a good starting point when voids increase noticeably.
Tips
Tips are not turnover and are recorded separately. There are three ways, see Tips:
-
At the Sales Point via the 3-dot menu → Set tip.
-
When splitting the payment, by long-pressing a payment method, or by taking the excess of a card payment as a tip.
-
Directly on the card terminal, if the terminal supports tip prompts and they are enabled.
Cash tips are not in the cash journal: they are in the drawer but not part of the expected balance. Pay them out to the employee directly from the drawer, without a cash journal entry.
Card tips reach your account with the card payment. If you pay them out to the employee in cash from the drawer, book a withdrawal in the cash journal so the expected balance is correct.
How you share tips across the team, e.g. by hours or by station, is up to you; bessa provides the totals per employee.
Frequently asked questions
An employee forgot to sign out. Whose turnover is it? The signed-in user's. There is no way to reassign it to another employee afterwards. Make Switch user a habit whenever a device changes hands.
Can I credit turnover to another employee, e.g. the hairdresser who served the customer? Only by having that employee signed in when the payment is taken. Switch to that user before taking payment.
