In the Export Data section of the bessa Manager, you can export your cash register data in various formats – for tax audits, your tax advisor, or for import into your accounting software. Export files are sent via email to the registered email address of the logged-in user.
Note: Data export is always register-specific. Unlike Reports, there is no "All Registers" option – you must select a specific cash register before exporting.
Prerequisites
Before exporting data, make sure the following requirements are met:

You are logged into the bessa Manager.

Your cash register is fiscalized and transaction data exists for the desired time period.

For accounting exports (RZL, BMD, DATEV): The corresponding account numbers of your accounting software must be configured in Article Groups, Payment Methods, and Tax Types. Without correct account numbers, the export file cannot be properly imported into your accounting software.
Configure Export
The export area consists of a sidebar on the left with two filter options and the export card area on the right.
Select Time Period
Use the Time Period dropdown in the sidebar to define the period for which data should be exported. The following options are available:

Tip: For regular submissions to your tax advisor, a monthly export is recommended. For annual closings, select the "Year" time period.
Select Cash Register
Use the Cash Registers dropdown to select the register whose data should be exported. Exactly one register must be selected – cross-register exports are not available.
Available Export Formats
The export card area displays all available export formats as cards. Each card contains a title, a description, and an Export button.
DEP – Data Acquisition Protocol
The Data Acquisition Protocol (DEP) contains all receipt-relevant transactions of the selected cash register in accordance with § 131 BAO and § 7 RKSV (Austrian Cash Register Security Ordinance). This protocol is required during tax audits or cash register inspections by the Austrian tax authority.
The DEP includes all signed cash transactions including training and reversal bookings as well as monthly, annual, and closing receipts. It is generated in JSON format (DEP-7) and must be exportable to an external storage medium at all times as per RKSV requirements.
Important: Businesses are required to back up the DEP at least quarterly on external media and retain it for seven years.
E131 – General Export Format
The E131 format contains transaction information in a general, extended format in accordance with § 131 (1) Z 6 BAO. Compared to DEP-7, the E131 protocol includes additional details such as the commercial description and quantity of delivered goods or services.
The export is provided as a CSV file including a dataset description and is suitable for tax auditors who require more detailed information than the DEP-7.
RZL – Export for RZL Accounting Software
Exports transaction data in the format of RZL accounting software. The export file can be directly imported into RZL FIBU or RZL EA by your tax advisor.
BMD – Export for BMD Accounting Software
Exports transaction data in the format of BMD accounting software. The file can be directly imported into BMD.
DATEV – Export for DATEV Accounting Software
Exports transaction data in the format of DATEV accounting software. The DATEV export is particularly relevant for businesses whose tax advisors work with DATEV. The export file can be directly imported into the DATEV software.
DSFinV-K – Digital Interface of the Tax Authorities for Cash Register Systems
Exports cash register data in the standardized DSFinV-K format in accordance with the German Cash Register Security Ordinance (KassenSichV). This export format is relevant for businesses in Germany that use electronic cash register systems and are required to provide their cash register data in DSFinV-K format for tax audits (cash register inspections, external audits).
The DSFinV-K ensures that all cash register data is complete, traceable, and available in a unified format that can be processed by the IDEA audit software used by German tax authorities.
Note: This export relates exclusively to German legal requirements. For Austrian tax audits, use the DEP or E131 export.
Export Data – Step by Step

In the bessa Manager, navigate to Reports > Export Data.

Select the desired time period in the sidebar.

Select the desired cash register.

Click Export on the desired export format card.

A confirmation dialog will appear, confirming that the export will be sent to the email address of the logged-in user.

Check your inbox – the export file will be delivered via email.
Tip: Also check your spam folder if the email does not appear in your inbox.
Set Up Account Numbers for Accounting Exports
For the RZL, BMD, and DATEV exports to work correctly, the account numbers of your accounting software must be configured in bessa. This involves three areas:

Article Groups: Assign the corresponding revenue account from your chart of accounts to each article group.

Payment Methods: Enter the associated accounting account for each payment method (cash, card, etc.).

Tax Types: Assign the correct tax accounts to the tax types.
Coordinate the account numbers with your tax advisor to ensure the mapping matches the chart of accounts being used.
Frequently Asked Questions (FAQ)
Can I export data for multiple cash registers at once? No, the export is always register-specific. If you need data from multiple registers, perform the export for each register individually.
What file format is the export sent in? This depends on the selected export format. The DEP is exported as a JSON file, the E131 as a CSV file. Accounting exports (RZL, BMD, DATEV) are generated in the respective program-specific format. All exports are sent as email attachments.
Which export format does my tax advisor need? Ask your tax advisor which accounting software they use. Dedicated export formats are available for RZL, BMD, and DATEV. For a general tax audit (Austria), you will typically need the DEP or E131 export.
What is the difference between DEP and E131? The DEP (Data Acquisition Protocol per § 7 RKSV) contains signed cash register data in JSON format. The E131 (per § 131 BAO) provides additional detail information such as item descriptions and quantities in a CSV file. During a tax audit, both the DEP and E131 are frequently requested.
When do I need the DSFinV-K export? The DSFinV-K export is exclusively relevant for businesses in Germany. It is required during cash register inspections and external audits by German tax authorities. Austrian businesses use the DEP and E131 formats instead.
I did not receive the export email – what can I do? First, check your spam folder. Make sure a valid email address is stored in your user account. If the issue persists, contact bessa Support.
Why can't I export in RZL/BMD/DATEV format? Make sure that account numbers of your accounting software are configured for all Article Groups, Payment Methods, and Tax Types. Without these mappings, a valid accounting export cannot be generated.
