Edit Stock Levels at the Sales Point

At the bessa POS you count, stock up and book goods right where they are stored – one article at a time or as a batch for many articles at once. After every batch booking the Sales Point prints a stock report.

Prerequisites

The Warehouse menu item appears when

  • your user role includes the Warehouse Management permission and

  • a warehouse is assigned to the Sales Point, see Assign Warehouses.

Open the Warehouse View

Tap Menu → Warehouse. If Warehouse is set up on the Welcome Screen, you can also open the view from there.

  • Warehouse selection (below the title bar): switches between the location's warehouses.

  • Article groups (tabs): show the group's articles with name, current stock level and unit.

  • Search (magnifier): searches across all article groups.

  • Scanning: with a barcode scanner, scan an article by its product number or EAN to open its stocktaking directly.

Each article row has a printer symbol for Label Printing and an edit symbol.

Count a Single Article

  1. Tap an article.

  2. Enter the counted quantity under New Quantity and optionally a Comment.

  3. Tap Apply.

The Sales Point books the difference immediately as Stocktaking. If you scan the next article while the dialog is open, the current entry is booked and the next article opens – a quick way to count a whole shelf.

Batch Booking

With a batch booking you record many articles and book them together. Open the 3-dot menu of the warehouse view and choose the booking type:

Transfer Stock is only available if the location has more than one warehouse.

How to proceed:

  1. Tap an article and enter the quantity. Changed articles show the change, e.g. +12 for a delivery or −3 for a reduction.

  2. Repeat this for all articles. When increasing or reducing stock, every scan of an article raises the quantity by 1.

  3. Tap Review Stock Up (or Review Stock Reduction, Review Inventory, Review Transfer). The review lists all edited articles; you can still correct quantities there.

  4. Adjust the Comment if needed. It is prefilled with the booking type and date and appears in the stock history for every booked article.

  5. Tap Finish Stocking Up (or Finish Stock Reduction, Finish Inventory Taking, Finish Transfer).

The Sales Point books all articles and prints a Stock report on the report printer. If you leave a batch booking before finishing, the Sales Point asks Abort Stock Edit – tap Yes to discard your entries.

After stocking up, label printing suggests the delivered quantity as the number of labels. Print the labels directly from the review.

Stock History

The Sales Point does not show a history of bookings. The full history per article and warehouse is in the Manager, see Stock History. At the Sales Point, the printed stock report serves as the record of a batch booking.

Troubleshooting

The "Warehouse" menu item is missing. Check that your user role includes the Warehouse Management permission and that a warehouse is assigned to the Sales Point in the Manager.

An article is missing from the warehouse view. Stock management is not enabled for the article. Portion articles do not appear – the main article is counted.

The stock report is not printed. Check that a report printer is assigned to the Sales Point.
