Stock Levels When Selling

Sales and voids at the bessa POS change the stock level automatically. If the stock level of an article is not sufficient, the Sales Point warns you or prevents the sale – depending on the warehouse setting.

Automatic Bookings

  • Order: As soon as an order is booked, the Sales Point reduces the stock level of every article with stock management by the ordered quantity.

  • Main article: If an article has a main article, the Sales Point deducts the proportional quantity from the main article, see Set Up Articles for Inventory Management.

  • Void: A void increases the stock level again by the voided quantity.

Bookings go to the warehouse that applies to the order: the area's warehouse, otherwise the Sales Point's, otherwise the location's branch warehouse. If no warehouse is assigned anywhere, the Sales Point does not book any stock. See Assign Warehouses.

Stock Check

When you add an article with stock management to an order – via the order screen, search or a scan – the Sales Point checks the available stock level. Available means the stock level minus the quantities that are already entered in open orders but not yet booked. For articles with a main article, the Sales Point also checks the main article's stock.

If the stock is not sufficient, this message appears:

"The following articles are low on stock:"

Below it, each affected article is listed with its remaining available quantity; for main articles, their name is shown as well.

Allow Negative Stock Level

How the Sales Point reacts is determined by the warehouse's Allow negative stock level setting, see Create and Edit Warehouses:

Setting

Message

Article is added

enabled

Warning

yes, the stock level may become negative

disabled

Failure

no

At the self-service kiosk no warning appears when the setting is enabled – guests usually already have the article in hand.

The setting only affects sales at the Sales Point. Manual bookings in the Manager or at the Sales Point, the delivery import and online orders can always take the stock level below zero.

Troubleshooting

The message appears although goods are available. The stock level in the system does not match the actual stock, for example because a delivery has not been stocked up yet. Stock up the delivery or correct the stock level via stocktaking. The Stock History shows where the difference comes from.

The message appears every time the order is opened. When an order is opened, the Sales Point checks all items again and keeps reporting every article with insufficient stock. The message disappears as soon as the stock is sufficient.

The stock level does not change when selling. Check that stock management is enabled for the article (or its main article) and that a warehouse applies to the Sales Point.
