Edit Stock Levels in the Manager

The warehouse view in the bessa Manager shows the current stock level of all articles in a warehouse and lets you book stocktaking, stock ups, stock outs and transfers per article. Sales and voids at the Sales Point are booked automatically, so there is nothing to do for them here.

Open the Warehouse View

In the Manager, open Manage → Warehouses. The menu item only appears with the Warehouse Management permission.

The view is structured as follows:

  • Select warehouse (top left): the warehouse whose stock is shown. Use the 3-dot menu next to it to edit the warehouse or create a new sub-warehouse, see Create and Edit Warehouses.

  • Article groups (left): select an article group to show its articles.

  • Search in article group (top): filters the articles of the selected group.

  • Order list and Delivery (top right): CSV export and import, see Order List and Delivery.

The table only shows articles with stock management enabled. Click the Description, Product # or Stock level column header to sort. If a main article with volume content is set for the article, the unit is shown next to the stock level.

If No stock items available appears, stock management is not enabled for any article in this article group. See Set Up Articles for Inventory Management.

Book Stock

Each action opens a dialog with the article and warehouse name. Before you book, the dialog shows the Current stock level, the New stock level and the Difference.

Stock Taking

Enter the actually counted quantity. bessa reloads the stock level right before booking and books the difference as Stocktaking. Sales made at the Sales Point between opening the dialog and booking are therefore not lost.

Stock Up

Enter the quantity added to the warehouse. The Costs (net) field is prefilled with the article's unit cost.

If you change Costs (net) when stocking up, bessa permanently applies the new value as the article's unit cost. The cost is also saved with the booking in the stock history.

Stock Out

Enter the quantity leaving the warehouse. The stock level may become negative – the Allow negative stock level setting only applies to sales.

Move

Enter the quantity and select the warehouse the goods go to under Target warehouse. bessa deducts the quantity from the current warehouse and adds it to the target warehouse; both warehouses show the booking as Transfer in the history.

The booking dialogs in the Manager have no comment field. If you want to record the reason for a booking (such as "breakage" or "delivery from the brewery"), book at the Sales Point, see Edit Stock Levels at the Sales Point.

Book Stock from the Article

The same bookings are also available directly in the article: open the article, switch to the Warehouse management tab and use the symbols in the Warehouse Stock table. There you can see the article's stock in all warehouses at a glance.

Read-Only View for Tax Advisors

Partner accounts for tax advisors and accountants see the warehouse view read-only: the table shows description, product number and stock level; bookings, the delivery import and editing warehouses are hidden. The order list can be downloaded.

FAQ

Why is an article missing from the warehouse view? Stock management is not enabled for the article, or it belongs to another article group. Portion articles that deduct from a main article do not appear – the main article's stock is tracked.

Can I book several articles at once? In the Manager you book one article at a time. For many articles at once, use the delivery import or a batch booking at the Sales Point.

Can I undo a booking? No, bookings cannot be deleted. Book the opposite movement (e.g. a stock out after a mistaken stock up) or correct the stock level via stocktaking.
