The order list in the bessa Manager shows at a glance which articles need to be reordered. When the goods arrive, you book the whole delivery at once with a CSV file instead of stocking up every article individually.
Set the Replenishment Stock Level
The replenishment stock level is the quantity an article should be topped up to after an order.
-
Open Manage → Warehouses and select the warehouse and article group.
-
Open the article's 3-dot menu and choose Edit.
-
Enter the Replenishment stock level and save.
The replenishment stock level applies per article and warehouse.
Download the Order List
Click Order list in the warehouse view. You receive a CSV file Bestellliste_<warehouse> with all articles of the selected warehouse whose stock level is below the replenishment stock level. The Bestellmenge column contains the difference between the replenishment stock level and the current stock level.
Example: replenishment stock level 24 bottles, stock level 9 bottles → order quantity 15.
Articles whose stock level reaches the replenishment stock level do not appear in the order list. Without a replenishment stock level, an article only appears if its stock level is negative.
Import a Delivery
-
Click Delivery → Download template in the warehouse view. The file
Vorlage_Lieferung_<warehouse>contains all articles of the selected warehouse with stock management enabled. -
Enter the delivered quantity in the Liefermenge column and adjust Stückkosten (netto) if needed.
-
Delete the rows of articles that were not delivered.
-
Save the file as CSV.
-
Click Delivery → Import file and select the file.
bessa books every row as a Stock up into the warehouse given in the Lager ID column. The bookings appear in the Stock History with your user and the unit cost, but without a comment.
Rows with a delivered quantity of 0 are booked too – as a stock up of 0 items. To keep the history clear, delete these rows before importing.
CSV File Structure
The order list and the template have the same structure. The column headers are always in German, regardless of the language setting.

Format: The file is UTF-8 encoded, columns are separated by semicolons. On import, bessa also recognises commas or tabs as separators. The decimal separator depends on your browser's language setting – a comma for German (10,00), a point for English (10.00). The same rule applies on import.
Unit cost: If the value is greater than 0, bessa saves it with the stock up; otherwise it uses the article's unit cost. Unlike stocking up in the booking dialog, the import does not change the unit cost in the article.
Troubleshooting
If even a single row contains an error, bessa rejects the entire import and books nothing. The message names the affected rows.
"Die CSV-Datei enthält nicht alle erforderlichen Spalten" (the CSV file is missing required columns) – The Lager ID or Artikel ID column is missing or was renamed. Download the template again.
"A valid number is required" – A cell in Liefermenge or Stückkosten (netto) is empty or not a number. Most common cause: the decimal separator does not match the browser language, e.g. 10,00 in an English-language browser. Import the file in the same browser you downloaded the template with, or adjust the decimal separator.
"No file was submitted" – The file name contains special characters such as umlauts or an en dash. Rename the file and import again.
Open the file in Excel via Data → From Text/CSV so the IDs stay unchanged, and save it again as CSV (delimited).
